What Is FES?

FES is a web application that supports a structured feedback process end-to-end: collecting input via surveys and ad-hoc notes, preparing it professionally, and running a facilitated feedback session — including AI-assisted summarization.

How the Feedback Process Works (End-to-End)

1) Collect feedback — all year long

Any authenticated user can drop ad-hoc feedback anytime. It’s collected first — no noise, no pressure.

2) Organize sessions with a Kanban board

Feedback Managers plan and run sessions via a Kanban-style workflow — transparent, trackable, and easy to coordinate.

3) Curate a strong question catalog

Maintain proven questions in a catalog. Add custom questions anytime — and promote great new ones into the catalog when they consistently unlock excellent feedback.

4) Configure an annual survey per feedback receiver

Feedback Managers set up a survey for a feedback receiver. The receiver defines who should be asked — including external contacts (e.g., stakeholders of Product Owners or Scrum Masters).

Survey timeframe and reminder cadence are configurable — and: external feedback providers are never reminded.

5) Not anonymous for managers — anonymized for the session

Feedback Managers can see who gave what feedback (to request context when needed). During preparation it is anonymized, and in the session it is communicated anonymously.

This balances clarity with psychological safety.

6) AI summarizes raw feedback — humans ensure accuracy

After a survey closes, raw survey feedback and ad-hoc notes are summarized with AI (Homeport, GDPR-compliant). Then two Feedback Managers review and refine the summary against the raw data to prevent distortion.

7) Run a facilitated feedback session (6-eye principle)

The feedback session is conducted in a six-eye setting. Questions and anonymized feedback are shared clearly and respectfully.

Deeper conversations are documented directly at the relevant points — so insights don’t get lost.

8) Send the protocol — then delete the data

At the end, the protocol is sent to the receiver — and all collected data is deleted.

Maximum learning, minimal retention.

Our process emerged in a hierarchy-light New Work environment — but it can be adapted to more traditional models.

GDPR-compliant AI summarization

The AI used (Homeport) is GDPR-compliant and supports the process by reducing repetition and making large feedback sets manageable.

No JavaScript / Node stack (except htmx)

FES deliberately avoids JavaScript- and Node-based web technologies — with the exception of htmx. Less complexity, fewer moving parts.
